2. Personal data processed

Data supplied directly by the user

When a user completes a form, requests information, places an order, requests a quotation or communicates with QUADRI, the following data may be collected:

First name and surname;
Company name;
Address;
Tax code and/or VAT number;
Email address and telephone number;
Billing and delivery addresses;
Information about orders and products purchased;
Information included in communications sent to QUADRI;
Further data needed to manage the business relationship.

Payment data

For online purchases, payment may be handled by specialist payment service providers. QUADRI receives and processes the information needed for transaction administration and accounting. Complete payment instrument details, such as full credit card details, may be processed directly by the payment service provider under its own terms and privacy notices.

Browsing data

During normal operation, the computer systems and software used to run the website acquire certain browsing data. Examples include IP addresses, browser and device type, operating system, access date and time, pages visited, and technical information needed for website operation and security.

This information may be processed to operate the website, ensure its security, prevent misuse and obtain statistical information about use of its services.

3. Purposes and legal bases of processing

A. Handling user requests

Data supplied through contact forms, email, telephone or other communication channels is used to respond to requests for information, assistance, product availability or quotations. The legal basis is taking steps at the data subject's request before entering into a contract and, where relevant, the controller's legitimate interest in responding to enquiries.

B. Managing orders and contractual relationships

Data is processed to receive and manage orders, verify payments, prepare and dispatch goods, communicate with the customer about an order, provide assistance, and handle returns, warranties and complaints. The legal basis is performance of a contract or pre-contractual steps requested by the data subject.

C. Administrative, tax and accounting obligations

Data may be processed to issue and retain invoices and other tax documents, maintain accounts and comply with applicable legal obligations. The legal basis is compliance with legal obligations to which the controller is subject.

D. Protecting QUADRI's rights

Data may be used where necessary to establish, exercise or defend a right of QUADRI, prevent fraud, address disputes or prevent unlawful use of the website. The legal basis is the controller's legitimate interest in protecting its rights and business.

E. Website security and operation

Technical data may be processed to ensure proper operation and security of the website and its services. The legal basis is the controller's legitimate interest in the security and proper operation of its IT systems and, where applicable, provision of the service requested by the user.

F. Statistics and analytics

QUADRI may use tools to obtain statistics about website use. Where these tools use only aggregated data or qualify as technical cookies under applicable law, processing takes place within the limits permitted without consent. Tools that require consent are activated only after the user has given consent through the cookie management system.

If QUADRI uses personal data to send newsletters, commercial communications or promotional messages on the basis of consent, these are sent only after obtaining consent where required by law. Consent can be withdrawn at any time without affecting the lawfulness of processing carried out before withdrawal.

4. Providing data

Data marked as necessary to place an order, request a quotation or obtain a particular service must be provided for QUADRI to process the request. Failure to provide this data may make it impossible to provide the service or perform the contract.

Providing data for consent-based marketing is optional. Refusing consent does not prevent use of other website functions or the purchase of products.

5. Processing methods and security

Personal data is processed electronically and, where necessary, on paper, using technical and organisational measures appropriate to the risk. QUADRI takes steps to protect data against unauthorised access, loss, destruction, disclosure or unlawful alteration. Access is limited to authorised persons and suppliers who need the data to carry out their activities.

Within the limits necessary for the purposes described in this notice, data may be disclosed to:

8. Retention periods

Data is retained for as long as necessary to fulfil the purposes for which it was collected, and subsequently for the period needed to meet legal obligations or protect the controller's rights. In particular:

Order, invoicing and commercial relationship data is retained for the periods required by tax, civil and accounting law;
Information and quotation enquiry data is retained for the time needed to handle the enquiry and, if applicable, subsequently protect legal rights;
Data needed to handle disputes may be retained until their conclusion and for any further statutory periods;
Consent-based data is retained until consent is withdrawn or for the different period indicated when it is collected, subject to any retention obligations.

9. Data subject rights

In the cases and within the limits provided by the GDPR, you may obtain confirmation of whether your personal data is being processed, access it, have inaccurate data corrected and incomplete data completed, request erasure or restriction, object where permitted by law, obtain portability where provided by the GDPR, and withdraw consent at any time without affecting earlier lawful processing.

Girapanettoni rack quotations

Customer and contact details, address, country and technical information are used to prepare quotations, including overseas supplies. Business and tax information is requested where relevant to the customer type and country. How you heard about us, notes and photographs are optional. Details already supplied through the contact form are carried over to the dedicated form.

You can attach photographs of the oven identification plate and the rack without trays, using a smartphone or computer. Photograph only the equipment, avoiding people and unrelated documents. For new requests, photographs are sent as attachments to the email sent to QUADRI’s sales team, accessible to authorised staff. They are not saved in the media library or the confirmed request archive.

While the form is being completed, photographs remain temporarily available for the preview for two hours. If the request is not sent, scheduled website cleanup removes them. On confirmation, temporary copies are removed after the email attempt, including if it fails; the form indicates if photographs need to be sent again by email. Quotation details remain in a private archive. Emails and attachments follow the retention criteria described above. Requests are not sent via WhatsApp. During website preparation, photographs are processed only for testing and are not retained.

English shop quotation requests

The selected products, quantities, contact and delivery details and any notes are used to prepare a quotation including shipping costs. Existing customer details are used to prefill the form where available. The request is saved in a private archive and an email notification is sent to QUADRI. Submitting a quotation request does not create a paid order or initiate payment.
